The latest improvements to TrainerBook. Spotted something you’d like changed? Tell us.
Your week now arrives on Sunday evening
- Trainers: the “Your week” email moves from Monday morning to Sunday at 5pm, your own local time — so you can look at the week before it starts rather than once it has already begun.
- It now covers the week that is about to start, and last week’s numbers only count sessions that have actually happened, so a Sunday evening session still to teach is not counted as held.
- The switch is the same one, renamed: Settings → Notifications → “Your week, every Sunday”. If Sunday’s send is ever missed it still arrives on Monday, and you can never get two for one week.
TrainerBook is dark by default
- Everyone: the app and the website now open in dark. It reads better on a phone, and it matches the black screen the app already launches on instead of flashing white on the way in.
- Prefer light? Settings → Appearance still has Light, Dark and System — “System” follows your phone. Whatever you have already chosen there is untouched; only people who never picked anything move to dark.
- Menus, dropdowns, date pickers and scrollbars now follow the app rather than your phone, so you no longer get a white dropdown on a dark screen.
Say what really happened in a past session
- Clients: opened a past session and can’t agree with what it says? You can now tell your trainer you were there, missed it, or cancelled in good time. You’re asking, not changing it — your trainer confirms, and nothing on your plan moves until they do.
- If you say you cancelled in time, you can tick that you told your trainer before their cancellation window closed. They see that and decide, so the honest answer is the one that counts.
- Before you send, we tell you exactly what confirming would do — whether a session comes back to your plan, you get a make-up session, or nothing changes. Your sessions list shows anything still waiting on your trainer, so you don’t ask twice.
- On a set-number-of-sessions-a-week plan you have no credit balance, so missing a session simply means losing that week’s session — and we say so rather than implying you’ll get something back. Cancelling in good time still earns you a make-up session.
- Trainers: your dashboard gathers these requests in one place, each showing who asked, what they said, whether they claim they gave you notice, and precisely what confirming returns to their plan. Confirm, or decline with a reason.
- You can also record a past session as “Cancelled in time” yourself, from a client’s record — the thing you couldn’t do before. Attendance could always be corrected; a session someone properly called off could not, so it stayed marked as attended.
Find a trainer now actually goes somewhere
- Clients: “Find a trainer” has its own page, and the search narrows as you type. Before, if you had no trainer yet, those buttons quietly did nothing — they sent you to the page you were already on.
- Not on TrainerBook yet? “Don’t see your trainer or gym?” gives you a short invite to copy and send them yourself. We don’t contact them for you.
- Trainers: More → “Train with someone” now opens the same page directly, instead of a screen whose only content was another button.
- Your home screen shows a calendar even before you’ve booked anything, so you can see the shape of the week ahead instead of an empty panel.
- Searching for a trainer now happens in one place rather than two, so there’s a single set of results to follow.
A client’s name on your list stays as you have it
- Trainers: when someone books through your public page using an email address already on your client list, the name you have for that client is now kept — it is only filled in if the record had no name yet. Before, a new booking could quietly replace it. If a client wants their name changed, edit it on their record.
See your guests, and your whole session list on the hub
- Clients: the guests you’ve invited now show on your own sessions again — the “+1” on a session you can see at a glance. (They had stopped appearing on the client side.)
- On a regular (repeating) slot, the guest you bring every time now shows on the booking page, with a note that you’ve reached your trainer’s guest limit — instead of the page still offering to add a guest to a place that was already taken.
- If you train with more than one trainer, your home page now lists your upcoming and past sessions under the calendar, the same way a single-trainer view does — each one labelled with the trainer, on their clock.
Guests and classes on the client record, and guests in the past tense
- Trainers: a client’s record now lists, under their past sessions, the sessions they came to that weren’t their own bookings — as someone’s guest (whose session it was) or in a class — with the “how it felt” answer they gave there. Those answers already fed the AI suggestion; now they’re on the screen too, and the suggestion is told when an answer was given as a guest.
- Once a session has started, a guest reads as “Came”, “Never answered” or “Didn’t come” instead of “Coming” — on the session and on the client’s own booking page.
The bell and Settings stay inside your trainer’s space
- Clients with more than one trainer: tapping the bell, or More → Settings, from inside a trainer’s space used to switch you to the plain TrainerBook look and send “Home” to the hub. Both now open inside the space you were in — same page, your trainer’s colours, Home still your trainer. The Inbox inside a space now has the same Chats | Updates tabs the hub’s does.
Past sessions open from your Sessions page
- Clients: every session under “Past & cancelled” is now a row you can tap — it says “How was it?” while you can still answer and shows your answer once you have. Classes and guest sessions you went to in the last 30 days stay listed under “Recent” for the same reason. Before this, a past session could only be reached from its email.
- Once a session has happened it is settled: the page no longer offers to reschedule or cancel it (your trainer marks attendance), and a class place isn’t given back after the class has run.
Tell your trainer how the session felt
- Clients: once a session has happened, your booking link asks “How was Thursday’s session?” — five faces from very easy to very hard, and a line if you want to add one. Only your trainer sees it, and it helps them plan the next one. Guests answer from their own invitation link and class attendees from their class link, so everyone in a session speaks for themselves. Change your answer any time within 30 days.
- Trainers: a client’s answer shows on the session as “How it felt”, on their record under past sessions, on the guest block for a guest, and on the class roster for an attendee — and you get an in-app note when one lands. If you use AI session suggestions, the last few answers now feed in as “how it felt”.
A regular slot can be given its last day as you set it up
- Trainers: when you tick “Standing” on a new booking, there is now a “Last day (optional)” beside it — a twelve-week block, a slot that ends when a client’s course does. The slot runs up to and including that day and stops on its own; leave it blank and it runs until you stop it. Before, a regular slot always started open-ended and the last day could only be added afterwards from More → Standing sessions (which still works).
Repeating sessions keep their time when the clocks change
- Trainers and clients: a regular slot, a repeating series or a class series now keeps its time on the trainer’s clock across a clock change — Mondays at 8am stay 8am after the clocks go back on 25 October. Sessions already booked past that date had been generated an hour early (an 8am slot was showing as 7am); they have been moved to the right time, and any calendar file you downloaded before today for a date after 25 October is worth re-downloading from the session page.
- Trainers: your Reports page now counts weeks and months on your own calendar, not the server’s, so a session in the first hour of a Monday belongs to that week; and a progress note written from abroad links to the session on your day, not the phone’s. Clients: the day you pick on a booking page is the day on your trainer’s calendar, wherever you are.
- Trainers on Pro: if your saved brand isn’t the theme you’re wearing, the notice at the top of the Brand Studio now has an “Apply this brand” button — one tap switches to it as saved. Before, it told you to choose Save & apply, which only appeared once you had changed something.
- Gym instructors: when the gym owner cancels a date of a class you teach, stops the series, or their time off cancels it, you are now told — a notification and an email listing the dates, in your own time zone. Before, only the people booked in heard, and the date simply vanished from your list.
- Clients: when you name a guest while booking, the confirmation now shows the “Your guest — what happens now” note (they are asked to confirm, and you hear when they do). It was built and never appeared — the count of guests added was never handed to the page.
A guest who says yes is your client
- Trainers: a guest who accepts an invitation — and signs your health form first, if you ask for one — now becomes one of your clients: they appear on your Clients page marked “Joined as a guest”, with their signed questionnaire as their intake form. Guests who had already said yes to a session still ahead have been added the same way. Before, a guest could train with you for months and never appear in your client list.
- Trainers on Free: an accepted guest counts toward your 3 clients. The guest queue and the session page now say how many places you have left before you say yes, and at the limit approving or adding a guest opens the upgrade to Pro instead of failing quietly — the request waits for you.
- Trainers on Free: wherever you hit the 3-client limit — adding or importing a client, restoring an archived one, booking someone new from your calendar, approving a guest — you now get one clear popup that names who would have been your next client, with Upgrade a tap away, instead of a message telling you to go and look in Help. Two doors that never checked the limit at all — a class booking and a regular-slot request from your public page — now do, exactly like a normal booking.
- Guests: the invitation now says that saying yes adds you to the trainer’s client list, and the health-form consent says your answers stay on your client record with them (you can ask them to delete it at any time), rather than being deleted after 30 days. Decline, or never answer, and they still are.
- Clients: under Settings → Notifications, “Follow each trainer’s setting” for rebook reminders now says what that means — each trainer you train with, and whether they remind you and at how many sessions left. It read as blank before.
- Clients: when your plan is down to its last session, or you’ve used them all, you now get one email saying so and what happens next for how you pay — a Direct Debit renews itself, cash or a standing order means paying your trainer, a pack means asking about the next one. Once per top-up; never on the day a plan starts. Trainers: it’s on by default under Settings → Notifications → “Tell clients when their plan is nearly used up”.
- Dark mode, finished inside the app: badges, warning panels, error messages, the Upgrade pill and the class, gym and settings screens all follow your dark setting properly now — a few were still painting light-mode colours. The class-booking and waitlist pages a client opens from an email, which never switched to dark at all, now do.
- Trainers on Free: when your client limit turns a new person away from your booking page, you now hear about it — one email a day at most, and a notification, with who tried, their email and what they asked for, so you can get in touch or make room. Before, they were told to contact you directly and you never knew. Switch it off under Settings → Notifications → “Someone tried to book with you”.
A guest can always get back home
- Clients: if you were invited as someone’s guest and opened the invitation from your own portal, the Home, Book and Inbox tabs led to a dead page you couldn’t get out of. Fixed — the tabs now take you to your own training, whoever’s session you were looking at. And any page that doesn’t exist now shows a proper “that page isn’t here” with a way back, instead of a blank error.
- Nobody is left in the dark any more: a guest taken off a session (or off a regular slot) is told; a client whose guest request the trainer turned down is told, with the reason; a trainer’s time off now cancels their group classes in that window too and tells everyone booked in; and if a trainer ever closes their account, every client with sessions ahead hears. Before, each of these happened silently.
Your week, every Monday
- Trainers: a short email first thing Monday — this week’s sessions and who is first up, what is waiting on you (the same Needs you list as your dashboard), and last week in numbers. Skipped on a week with nothing to say. Switch it off in Settings → Notifications or with the one-tap link at the bottom; booking confirmations and reminders are unaffected.
- Clients: if your trainer asks for the health questionnaire and waiver and you haven’t signed by the day before a session, you now get one email with the link to answer and sign — the same page as your booking link. Trainers: it’s on by default while intake forms are on; switch it off under Settings → Intake forms if you’d rather chase in person.
- Trainers: More → Standing sessions lists every regular slot you run, by day and time, with who it’s for, when the next one is and how many are booked. From there you can give a slot a last day — it carries on until then, then stops — or stop it now. Until today a regular slot could only be found and stopped from inside one of its sessions.
- Clients: when your trainer stops your regular slot, or gives it a last day, you’re now told by email and in the app — how many sessions it affects and that any credit has come back. Before, only guests on the arrangement were told.
A cancelled regular session stays cancelled
- Regular (standing) slots: if you cancelled one week’s session, the next morning’s top-up could book it again — it reappeared in the app and a reminder went out for it. Fixed: a session you cancel stays cancelled. Anyone affected has had the extra session cancelled and any credit it took returned.
- Guests now hear about changes: when a session with a guest is cancelled or moved — by the client or the Trainer — every guest who was invited or had accepted is emailed once with what changed, a guest with an account sees it in their notifications, and their “You’re someone’s guest” list updates. Before, guests were told nothing.
- Dark mode: the Help Centre, Video guides, What’s New and Get help pages now follow your phone’s dark setting properly. Titles were white on a pale background there — unreadable — because those pages never switched to dark colours while their text did.
- Trainers: a new Show me in Find a trainer switch under Settings → Booking preferences. It is on for everyone; switch it off and clients searching TrainerBook won’t see you, while your booking link and every link in your emails keep working for anyone you share them with.
- Gym owners: the same switch, Show this gym in Find a gym, on the gym’s Manage page. The gym page and join code keep working when it is off.
- Trainers: a membership can now bill every 4 weeks as well as weekly or monthly (Pricing → Billing period). “Three a week” is then exactly twelve sessions every period, every time; Direct Debit follows the same rhythm.
- Trainers: the occasional getting-started tips email now has a one-tap unsubscribe that opens a proper TrainerBook page, on the website, and confirms you’re off the list. Your booking confirmations and session reminders are never affected by it.
Lighter on the phone
- iPhone app 1.0.1 is on the App Store. With it installed, links from our emails — confirmations, invitations, reminders — now open straight into the app instead of Safari. Update from the App Store if it hasn’t already.
- Clients: your Sessions page and hub now download far less before they appear — the calendar arrives a beat after the page instead of holding it up, the way the Trainer’s has for a while.
- Trainers: every page of the app now carries less before it shows. Things you only use when you tap them, like logging out, are fetched when tapped rather than on every page load.
- If you coach and also train with someone: a link from an email now opens the side it belongs to, whichever side you were last on — and that side becomes where the app opens next time, until you switch. Before, a link into your other side sent you to the wrong home.
From a session with a real Trainer
- Trainers: open a session and the new Progress block shows your last three notes for that client, lets you add a note for this session, and links to their full timeline. On Pro with AI suggestions switched on, the latest next-session suggestion is there too — “Suggest again” for a fresh one, “Copy into a note” to keep it. Same page whether you came from the calendar or the phone day list.
- Pages that used to fetch one thing after another — managing a session, your trainer’s space, the Trainer dashboard — now fetch everything at once, so they open noticeably quicker. More speed work is under way.
- Saving is quicker: booking, confirming, cancelling and the like no longer wait for the emails to go out first — your change is saved, the screen answers, and the emails follow a moment later.
- On the phone: tapping a tab now shows the page taking shape at once instead of a frozen screen until it loads, opening the app cold skips a step, and two typefaces only premium themes use are no longer downloaded by everyone.
- A small +1 now sits next to any session with a guest — on the calendar, the session list and the Up next card, for Trainers and clients alike. Open the session to see who and whether they have confirmed.
Fixes from a real first-client journey
- Every email now says TrainerBook is also an app, with the App Store link — and if you open one of our links in Safari on an iPhone, a banner offers the app. Once the next app update lands, links from emails open straight into the app instead of Safari.
- Guests: after you accept an invitation, you’re offered the app — reminders and any changes reach you there.
- Standing-slot guests: the guest list now shows whether they’ve accepted — “Approved — waiting for Dawn to accept the invitation”, then “Coming to every session” once they say yes. It used to say Confirmed as soon as the Trainer approved.
- Clients: if you’re someone’s guest, those sessions now show on your trainer’s Sessions page under “You’re someone’s guest” — not only on the hub, which you never see with a single trainer.
- Guests on a regular slot: your one yes (or no) now covers every session of it, as the invitation says — no more sessions left “awaiting guest”, and no second health form. Trainers: sessions that were stuck that way have been brought in line.
- Trainers: the invitation a guest opens now wears your brand — the same look as your booking page and your clients’ portal.
- Clients: when you request a standing session you now say how you’ll pay — cash, standing order, or Direct Debit if you’re signed in and your trainer offers it — the same choice as a one-off booking. Your trainer sees it with the request.
- Clients: a pending standing request can now be withdrawn while it waits — from “Your standing requests”, which now also appears on your sessions page. It leaves your list and your trainer’s inbox, and they’re told. Before, only the trainer could end one.
- Clients: while a booking is awaiting confirmation you can now change your notes and session type as well as the time, with “Change request” on the manage page.
- Clients: if you signed a health questionnaire as someone’s guest and later create an account with the same email, it now follows you — and your guest sessions show up in your portal.
- Clients: with no trainer yet, every “book” button says Find a trainer and takes you to the search, instead of reloading the page.
- Clients: with one trainer, your Settings, Inbox and notifications now stay in that trainer’s colours instead of dropping back to TrainerBook’s.
- The setup checklist starts collapsed, its steps land on the exact field rather than the top of a page, and a pending standing request now counts as “booked” everywhere — it used to on one page and not the other.
One message each for a regular slot
- Guests invited to a regular slot are now told it repeats — “every week, starting Tuesday 9 September” — and that saying yes once covers all of them. They still only hear from us once; the invitation now describes what they are actually joining.
- Their acceptance page says the same, so a link opened days later still explains it.
- Trainers: a client asking to bring someone to their regular slot now reaches you by email and a notification, not just a row on your dashboard. It names which slot, and says approving covers every session so you are not asked again.
- Clients: you are now told either way when your trainer answers.
- Nobody gets a fresh email as the weeks roll on — one request, one approval, one confirmation.
Trainers can bring a guest to a session
- Trainers: open any upcoming session and use “Bringing someone?” to add a guest yourself. No approval step — you adding them is the approval — and they are emailed their confirmation link straight away.
- A guest is still free, and still uses nobody’s session allowance.
- If you ask for a health questionnaire, they complete it on that same link and their answers appear on the session for you only, with any yes flagged first.
- This is on the session page, so it works the same on a phone as on a desktop.
- Clients: on a regular slot, you can now add someone to the whole arrangement — every upcoming session and every new one — without giving up your slot and asking for it back. It tells you how many sessions that is before you confirm, and goes to your trainer as one request to approve rather than one every week.
- Your guest is emailed once, not weekly, and keeps their health form.
- Either of you can take a guest off all sessions, or off just one week by opening that session. Removing one week no longer ends the arrangement.
Sessions have their own page
- Trainers: clicking a session on your calendar now opens that session, instead of jumping to the client’s record. Everything about it is in one place — when it is, how long, session type, what your client wrote when booking, membership and how they pay, who else is coming and their health answers, and the buttons to cancel it or stop a standing booking.
- Your client is a link from there, for when you want their full record rather than being taken to it whether you wanted it or not.
- It is the same page on a phone and on a desktop. It used to be two different screens, and things added to one kept going missing from the other — the guest list did it twice.
- Clients: you can no longer be offered the waiting list for a session you already have. It was never possible to actually join one — the app refused it — but it should not have been offered at all.
- Clients: opening a session to manage it now keeps you in your trainer’s space, so “Book” takes you straight to their times instead of asking which trainer you meant.
Guests: the health form reaches you, and guests see their own sessions
- Trainers: when a guest completes your health questionnaire you can now read their answers — open the session and choose “View health answers”. A yes to any question is flagged before the rest. Until now the answers were collected and shown to nobody, which is the worst of both worlds.
- Only you can see them. Not the client who invited them — your client can see that their friend is coming, never their friend’s medical answers.
- Guests are told this before they sign: who sees their answers, that nobody else does, and that they are deleted 30 days after the session unless they become your client.
- Guests with a TrainerBook account now see “You’re someone’s guest” in their own portal, with the session and a link to confirm — no more digging out the email. It stays free and uses nothing from their plan.
Bring someone to your regular slot
- Clients: asking for a standing weekly slot? You can now name a guest on the request, and they come to every session it books — this week’s and the ones booked months ahead — free, using nobody’s credit.
- They’re asked to confirm once, not every week. Once they’ve said yes they’re simply on every session, and if your Trainer asks guests to complete a health form they do that once too.
- Trainers: guests are shown on the request, so approving the request approves them. Nobody appears on your register you didn’t agree to.
- A guest who says no isn’t asked again — they declined the arrangement, not one date.
- This completes guest mode: you can now bring someone on a one-off booking, a repeating booking, a standing slot, or by adding them to a session you already have.
End your regular slot yourself
- Clients: if you have a standing weekly (or fortnightly) slot, you can now end it yourself from your session page. Until now only your Trainer could — you could cancel each session one at a time while the slot kept booking more.
- It is deliberately blunt about what happens: you give up the time, it goes back into your Trainer’s diary, and somebody else can book it. Every upcoming session is cancelled and no new ones are added.
- Just want to miss one week? “Cancel just this one” is right there, and keeps your regular time.
- Your Trainer is told straight away, and anyone on their waiting list is offered the freed times.
- On a plan? Sessions more than your Trainer’s notice period away don’t count against your allowance — you get them back. Anything closer is late notice and still counts, and you’re told plainly how many of each rather than left to work it out from your balance. Pay per session? Nothing is deducted either way. Payments themselves are between you and your Trainer — money never passes through TrainerBook.
Bring a guest while you book
- Clients: “Bringing someone?” is now on the booking form itself. You used to have to book first, find the session again and add your guest there — two steps for one decision you had already made.
- Booking a repeating slot? Your guest is added to every session it books. Add someone later, from a single session, and it applies to that one only — so you can bring a friend every week, or just this Thursday.
- If your Trainer can’t take your guest, the confirmation says so, rather than leaving you to find out on the day. Your session is booked either way.
- The guest field only shows if you’re signed in and your Trainer takes guests — no more controls that could only say no.
Guests get their invitation, and the tour knows you’re not new
- Adding a guest now asks for their email, and only that. It used to offer “or their mobile” — but the invitation to confirm is an email, so a guest added by phone number was never actually asked, and sat waiting for ever. One less box, and it works.
- Trainers: when you add a guest yourself, they are now emailed straight away. Your session page said “waiting for them to confirm” — but nothing had ever been sent to them. Guests added by a client and then approved by you were always emailed; this was the other half.
- The first-run tour no longer opens itself for someone who is already using TrainerBook. Being added as another Trainer’s client made the app treat you as a beginner. It’s still there under More → Replay tour whenever you want it.
- The tour also fits the screen properly on a phone now — the buttons at the bottom were falling off the edge.
Coach, train, or both — from the same place
- Trainers: More → Train with someone is new. Plenty of Trainers get trained too, and until now there was no way to start — you could only end up with a client side if another Trainer added you. Now you can go and find one yourself.
- Clients: “Also a trainer?” has moved out of Settings and into More, next to the switch between your two sides. Taking bookings of your own isn’t a setting, and Settings was the wrong place to go looking for it.
- Both directions now sit under More, on both sides. Once you have both, More → Switch is how you move between them.
Bring a guest
- Trainers: you can now let clients bring someone along, free. It’s off until you turn it on — Settings → Booking preferences — and you choose how many guests a session can take.
- A client adds a guest from their session page, it comes to you to approve, and only then is the guest asked to confirm. Nobody’s credit is used and nothing is charged.
- If you ask clients to complete a health questionnaire, guests complete one too before they train — on their own link, no account needed.
- This is for bringing a friend. If you’d rather charge for a second person, that’s a service for 2 people on your Pricing page, with its own rate — the two are deliberately separate.
- Clients: your Trainer decides whether guests are allowed. When they are, you’ll see “Bringing someone?” on your session, and your guest gets a link to say yes or no. You need to be signed in to add a guest — your guest does not need an account at all.
- We keep a guest’s details to the minimum — a name and one way to reach them — never show them to other clients, and delete them 30 days after the session, health answers included, unless they become a client themselves.
One Inbox — Chats and Updates, side by side
- Messages and notifications were two separate places with two separate headings, and moving between them felt like leaving one and arriving at another. They are now one Inbox with two tabs: Chats for conversations, Updates for the things TrainerBook tells you — bookings, cancellations, reminders.
- The bell still shows its count, but it is no longer a destination of its own: tapping it opens your Inbox on the Updates tab. Same place, quicker route.
- The badge on the Inbox tab now counts everything waiting, not just chats. It used to show unread messages only, so you could tap a tab that looked clear and find three unread updates behind it.
- Fixed: reading your updates used to leave the bottom bar highlighting More, so the app disagreed with itself about where you were. Both halves of the Inbox now light the Inbox tab.
- They are still two tabs rather than one merged list, on purpose. A message you can reply to and "your session is confirmed" are different kinds of thing, and a busy week of reminders would bury the message your Trainer actually sent.
- This is the same on both sides — Trainers and clients get the identical Inbox.
Everything you charge for, on one page
- Trainers: the Memberships tab is now Pricing, and it holds everything a client can be charged — what a single session costs, and the plans and packs people buy them through. No more setting one price here and another one three screens away.
- The rename was overdue: “Memberships” named one row on that page rather than the page. A pack isn’t a membership and a one-off certainly isn’t, which is exactly why the other prices ended up elsewhere.
- New at the top: your services. Each one says how many people train in it, how long it runs and what it costs — “Duo PT · 2 people · 60 min · £55”. That price is your one-off rate: what someone pays who isn’t on a plan. A plan is simply a way of pre-paying it, and carries its own price, so members can still work out cheaper.
- Also there now: your group classes, each with what one place costs. The price box has been removed from the Classes page — that page is for scheduling a class and taking the register, and having a second place to set a price is exactly why prices drifted apart. Change what you charge in one place, check it in one place.
- Only classes you own appear, because the price follows whoever gets paid. A class you teach for someone else is theirs to price; if it runs at a gym, it says which one, so two similar classes are easy to tell apart.
- Your existing plans and class prices are untouched and keep working exactly as they did. Nothing you’ve already set up changes, and no client starts being charged for anything.
- Your bookmarks still work — the page is in the same place, it just has a name that covers everything on it.
Going away? Tell your Trainer once
- Clients: “I’m away” on your Sessions page clears a holiday in one go. Pick the first and last day, see exactly which sessions it affects, and confirm — instead of cancelling six sessions one at a time and hoping your Trainer pieced together that they were one trip.
- You see the sessions listed and dated before anything is cancelled, and it tells you upfront if any are too close to the day to earn a make-up under your Trainer’s cancellation notice — rather than you finding that out later in your balance.
- Everything else works exactly as it would if you’d cancelled each one yourself: the same notice period decides what you’re owed back, and your regular pattern carries on after the gap — a standing Monday/Wednesday/Friday is still there when you’re home.
- Trainers: you get one notification naming the dates and the number of sessions, not a stream of separate cancellations.
- Fixed alongside it: on a per-week membership, a cancelled session was never earning a make-up. Per-week plans deliberately keep no balance — that’s the whole point of them — and the make-up rule was still looking for one, so “a week off can be caught up” quietly didn’t apply to the plans it was designed for. The cancellation notice period now decides it, on every plan.
One way around, everywhere
- Clients: the bar along the bottom is now the same on every screen — Home, Book, Messages, More. It used to change depending on where you were: two items on your home page, five inside a Trainer’s space, and none at all on the Help pages, so the way back kept moving.
- “Messages” now means one thing. There were two of them — one for all your Trainers, one for the Trainer you were looking at — with the same name and icon, and no way to tell which you were in.
- Your sessions, your plan and your forms moved onto Home. They’re things you read about your training rather than places to navigate to, and it keeps the bottom bar to four.
- Help, What’s New, Settings, notifications and the legal pages are under More — inside the app, with your navigation still there. Before, opening Help dropped you onto a page with no way back except your browser’s back button.
- The account button in the top-right corner is gone: everything it held is in More, which is on every screen rather than only the ones with a header. More now also looks and works exactly as it does for a Trainer.
- Coach as well as train? More → Switch moves you between the two, and it says so — the rows used to be your business name and your Trainer’s name with nothing to explain what they were, which is why people went hunting in Settings for it. Each now reads “Coaching · your business” and “Training with …”.
- Switching now actually switches. If you signed up as a Trainer, choosing your training side put you straight back on your Trainer home — the app still assumed one login meant one role. It now follows the side you picked, and remembers it, so tapping the logo takes you to the right home too. Same in reverse for a client who has since started coaching.
- Train with more than one Trainer? Tap their name or logo at the top to switch, with “All my training” at the top of the list: one calendar with everyone’s sessions and classes together. It used to be the thing you got bounced away from, reachable only by a link you’d have had to know about.
- That’s also tidier on a phone — their logo used to be followed by their name written out again beside it. The logo itself is now the switcher.
- With a single Trainer nothing changes — their logo just sits at the top and takes you home, because there’s nothing to switch between.
“3 a week” now means 3 a week
- A per-week membership is now a limit rather than a monthly pot of credits. “Up to 3 a week” is checked against the calendar week when a session is booked — nothing accrues, nothing banks up, nothing runs out, and a longer month simply has more weeks in it.
- That removes the whole problem of converting weeks into months. Whichever way we did that conversion it was wrong: rounding up handed you six free sessions a year, and rounding fairly still blocked a genuine session in some months. A client who trains 3 times a week actually trains 156 or 157 times a year depending on which day the year starts on — so there was never a monthly number that worked.
- Make-up sessions sit on top of the weekly limit, so a week off can genuinely be caught up: your client uses their 3 as normal, and any extra comes out of what they’re owed. Your weekly allowance is always used first, so nobody burns a make-up on an ordinary week.
- There’s no cap on how many make-ups can be used in one week — a fortnight’s holiday can come back in one go if that’s what suits you both.
- Per-month plans are completely unchanged, and so is every plan you already have.
Time off actually clears your diary — and missed sessions come back
- Trainers: booking time off now deals with the sessions already in your diary. It used to only stop NEW bookings, so a week away over three standing sessions cancelled nothing and told nobody — those clients would have turned up. It asks you first, then cancels them, gives the session back, and lets each client know.
- A session that doesn’t happen now comes back to your client as a make-up, with a deadline you set: Settings → Payments → “How long a client has to use a session you owe them” (60 days by default, or never). You cancelling, you being on holiday, or a client cancelling with enough notice all create one automatically — a late cancellation still doesn’t, exactly as your notice policy already decides.
- Make-ups sit on top of any weekly limit, so a week off can genuinely be made up rather than quietly lost.
- They survive a paused membership and end with a cancelled one, and your client sees how many they have and when the first one runs out.
- Clients: if a session of yours is cancelled in good time, you’ll see exactly how many make-up sessions you’re owed and the date the first one expires — instead of it disappearing into a single credit number.
Sell the membership you actually sell
- Trainers: how you count a session allowance is now a separate choice from how often you bill. Pick per week and TrainerBook scales it to the real length of each month — a client who trains 3 times a week gets 12 in February, 13 in a 30-day month and 14 in a 31-day one. Before, you had to type one fixed number, which was right in a four-week month and left the extra session showing as “over allowance” in a longer one.
- It always rounds up, so a longer month is never short and nobody is wrongly flagged as owing you a session.
- There’s also No limit — no cap and no credit balance at all. Sessions are never counted down, bookings are never blocked, and the membership simply tracks whether it’s paid up. Your client’s portal says “No session limit” instead of showing them a balance.
- Nothing changed for existing plans: they all still grant exactly the number you set, every period.
One list of what’s waiting on you
- Trainers: your dashboard now opens with “Needs you” — booking requests and standing-slot requests to answer, membership payments due, sessions booked over an allowance, clients booked in with no membership, and questionnaires still unsigned, all in one list. Before, each of those lived somewhere different and you had to remember to go looking. It disappears entirely when there’s nothing outstanding.
- Rows only show if they apply to you: the membership ones stay hidden until you actually use plans, and the questionnaire row only if you ask for intake forms.
- “Mark paid” now asks WHEN the money arrived, prefilled with today. The next period runs from that date — so recording a late payment on the 12th no longer drags that client’s billing day to the 12th. Enter the 1st and their renewal stays on the 1st, month after month.
- If a client had gone into the red, the new allowance nets it off as before (owe 2, add 8, they’re on 6) — and the date you entered now shows in their credit history, so “paid for July” reads as July.
- Any setup step you don’t want is now yours to set aside — “Not for me” on the step, and “Undo skip” if you change your mind. It counts towards your progress so 100% is actually reachable, and it’s shown as set aside rather than ticked, because skipping something isn’t the same as doing it.
- And when you finish, we say so. The checklist used to just quietly disappear; now there’s a short “You’re all set”, once, dismissed for good on every device.
- Trainers: your setup checklist is now five steps, ordered so you’re bookable by step three — and it opens with “Your booking page is live”, already ticked, because it genuinely is from the moment you sign up. Setting your hours now leads, rather than sitting third behind two cosmetic steps. Your business name, bio and mobile became one “Complete your profile” step that takes you to whichever part is still missing.
- Membership plans and Direct Debit moved out into their own short “Get paid” list, which appears once your first booking lands. They were never on the path to being bookable, and on the Free plan they made 100% impossible to reach.
- Clients: your checklist no longer shows ticks for things you were never asked to do. If your trainer doesn’t use health questionnaires or Direct Debit, those steps simply aren’t there — before, they showed as already complete, so you could open your portal “2 of 4 done” having done nothing.
- The setup checklist’s last step now ticks the moment you copy your booking link — from the dashboard, from Settings, or from the step itself. It used to wait for a booking to arrive, which made the final step of YOUR setup depend on someone else acting; if you’d pasted the link into WhatsApp, we had no way of knowing.
- That step also stopped being a dead end: “Continue setup” used to point at the dashboard you were already on, so with everything else done the button did nothing. It now offers the copy button instead.
- The first-run tour now always fits your phone screen. It was sitting a fraction too tall and needed a scroll to reach the buttons.
- Clients: “Book your first session” now ticks off as soon as you’ve asked for a session — including a standing weekly slot — rather than waiting for your trainer to accept. You plainly know how to book by then.
A waiting list for busy times
- Booking pages now show times that are already taken, greyed out. Before, a taken time simply wasn’t there — so you couldn’t tell “someone has that” from “he doesn’t work then”.
- Want a time that’s gone? Ask to be told if it frees up. It isn’t a booking — nothing is held and no session credit is used — and there’s a one-click link in the email to come off the list any time.
- When a session is cancelled, everyone waiting for that time is emailed at once and the first to book it gets it. Cancel a repeating series and every future date in it is offered the same way.
- Trainers: on your own booking page you can see how many people are waiting for each taken time — a useful read on which hours are worth opening up.
- The times you’re waiting on now show in your portal, so you can check your place or leave the list without hunting for the email.
- This is on by default. If you’d rather your page showed only bookable times, Settings → Booking preferences → “Show times that are already taken”.
The right clock, everywhere
- If you train with more than one coach, your account menu now lists them so you can hop straight between — plus “All my sessions” for the combined calendar. Before, the only route was “Find a trainer”, which rather sounded like starting again.
- Train with someone else yourself? One login now does both. If you have a client account, Settings has a new “Also a trainer?” option that gives you your own booking page while keeping all your history. And if you already coach, Settings → “Train with someone else” opens your own client portal — book with another trainer using the same email and their sessions appear there.
- Your calendar now draws itself on your business time zone rather than whatever your device is set to. If you ever work from another country, the grid, the times you type in and the times your clients see all finally agree.
- The “manage your booking” page had the same gap: it named your trainer’s time zone at the top while showing times on your own device’s clock. Both the session time and the slots you can move to now use your trainer’s — matching the note above them.
- If one of your trainers works in another country, your portal calendar now says so — it names them and reminds you the times are on your own clock.
You’ll know when something changes
- If your trainer has to cancel a session, you’re now told straight away — by email, in the app and as a notification on your phone — instead of finding out when you turn up. Any session credit it used is put back, and the entry comes out of your calendar.
- The “turn off my TrainerBook reminders” option now genuinely silences text messages too, not just email and push. It also only appears on your own client calendar, which is the only place it ever did anything.
No more guessing which clock a time is on
- Every booking email — confirmations, reminders, reschedules, cancellations — now shows times in your trainer’s zone and says which one, e.g. “4:00 PM – 5:00 PM (BST)”. An email gets read anywhere, so the times no longer leave you guessing.
- Booking and manage-booking pages now say which time zone the times are in — “All times are UK time (BST)”, or your trainer’s own zone if they work elsewhere. Worth a glance if you ever book while you’re abroad.
- When a session is moved, the “add to calendar” file we email you updates the entry you already saved instead of leaving the old time sitting there. A move still waiting on your trainer’s OK goes in as tentative.
- When a class is cancelled, the email now removes it from your calendar too — including every date, if a whole run of classes was called off. No more turning up to something that isn’t on.
- And if you ever reset your calendar sync link, any calendar still using the old one now shows a note telling you it’s been replaced and where to get the new link — instead of quietly going stale.
Two smaller fixes
- Brand Studio now tells you when you’ve saved a brand but aren’t actually using it — the preview always shows your own design, so it looked like it should be live when another theme was applied. It points you at “Save & apply” if that’s what you meant.
- Importing a very large client CSV now says so straight away, with the size limit and a suggestion to split the file, instead of struggling with it.
Calendar links are strictly read-only
- Your calendar sync link now shares times only. It can’t be used to book, change or cancel a session — your private manage links are only ever sent to you by email.
- The wording in Settings → Calendar sync is clearer about what the link shares: for trainers and gyms that includes client names, so keep it to yourself. You can reset or disconnect it any time.
- Set your time zone: if your business runs outside the UK, Settings → Booking preferences now lets you pick it, and your availability and bookings follow it.
See your session credits and payments
- Your membership page now shows a full history, not just a balance: a Session credit history listing every credit added and every session you’ve used, and a Payments list showing any Direct Debit collections and their status.
- It’s a clear, read-only record of what you’ve paid and what you have left with each trainer.
Sync your sessions to your own calendar
- Booking confirmation and reminder emails now include an “add to calendar” file — one tap adds the session to Apple Calendar, Google Calendar or Outlook (class bookings too).
- To keep everything in sync, connect your calendar in Settings → Calendar sync: a private link that updates itself automatically as bookings change, with an optional reminder alarm and the option to mute our own email/push reminders while it’s connected. Reset or disconnect it any time.
- Trainers choose what to include (1:1s, classes, or both). Gym owners and admins get a configurable gym calendar on the Gym page — gym classes, their own 1:1s, and selected gym trainers.
Add clients yourself — or import your whole list
- You no longer have to wait for someone to book to get them into TrainerBook. On the Clients page, “Add client” adds a person by hand (name, email, phone) — they aren’t emailed, it just puts them in your list so you can book them in and set up a membership.
- Moving over from another tool? “Import CSV” brings your whole client list in at once. Export a CSV from your old system (or use our template), and TrainerBook reads the email, name and phone columns, skips anyone you already have, and shows you exactly what was added before and after.
- On the Free plan you can hold 3 clients; importing fills those slots and tells you how many more Pro would let you add.
A faster dashboard and a smoother sign-up
- Your dashboard now loads noticeably faster — the calendar no longer holds up the rest of the page, so your booking link, setup checklist and requests appear almost straight away.
- The Messages and notification counts at the top now update on their own while you’re working, instead of only when you move between pages.
- Signing up is tidier: after you create your account we show a clear “check your email” screen, and clicking the confirmation link takes you straight into the app, already signed in.
Go Pro — unlimited clients, memberships and your own brand
- You can now upgrade to Pro from Settings → Billing. Pro lifts the 3-client limit and unlocks memberships with Direct Debit, your own logo and colours (Brand Studio), SMS reminders and AI help — and removes the “Powered by TrainerBook” mark from your booking pages.
- It’s £19.99 a month or £199 a year. Cancel any time from the billing portal, and you keep Pro until the end of the period you’ve paid for.
Jump straight to a client from their session
- Tapping a session on your calendar now opens that client’s record — their sessions, progress notes and membership in one place — instead of a small popup.
- You can cancel a session, or stop a standing booking, from the client’s Sessions tab. Dragging a session to reschedule still works exactly as before.
Clearer error messages on every form
- When something you’ve entered needs fixing, the message now appears right next to the field it’s about and the cursor jumps straight to it — so you can spot and correct it without hunting around. This is now consistent across the whole app: booking, sign-up, health forms, settings and more.
- The same change makes every form work properly with screen readers and other assistive technology.
Your training record — streaks & milestones
- Clients now have a training record on their trainer’s page: how many sessions they’ve kept in a row, and how close they are to their next milestone at 10, 25, 50 and 100 sessions. Your past sessions already count, so nobody starts from zero.
- A streak counts sessions you keep, not days in a row — so rest days, holidays and planned breaks never break it. It only resets if you miss a session you booked, and if that happens there’s no telling-off: your next session simply starts a new run.
- Training with more than one trainer? Your portal home now adds up your sessions across all of them, with each trainer’s progress side by side. Milestones stay earned with the trainer you earned them with.
- Not for you? Settings → Notifications & contact → “Show my training record” turns the whole thing off.
- Trainers get a new dashboard card: your sessions delivered this month against last, active clients, and your no-show rate — plus a heads-up when a regular has gone quiet or a client is about to hit a milestone worth mentioning.
Challenges & leaderboards
- Trainers can now run a challenge — “most sessions this month”, “most km”, whatever motivates your clients — from More → Challenges. Set what’s measured and the dates, and an optional prize.
- Clients log their progress from their portal (or you log it for clients without an account), and the leaderboard updates automatically. Leaderboards show first names only.
- Prizes are optional and can be a badge or a free session. A free-session prize records whether the trainer or the gym is honouring it — and the winner’s session credit is added automatically. Challenges can be just for your clients or shared across your whole gym.
Ask for a different session length
- When you open a slot to book, there’s now a “Session length” option. If the standard length isn’t what you need — say a 90-minute assessment or a 30-minute check-in — change it right there.
- A non-standard length becomes a request, not an instant booking: the slot is held while your trainer approves or declines it, and you’re emailed the outcome. Trainers see these alongside their other booking requests; standard-length slots still book straight away.
Approve bookings before they’re confirmed
- New in Settings → Booking preferences: “Review each booking request”. Turn it on and a client’s booking arrives as a request for you to confirm or decline — it isn’t booked until you approve it.
- While a request waits, its slot is held, so nobody else can take it. You’re notified by email and in-app, and you can decline with a short reason that’s shared with the client.
- Clients see “awaiting confirmation” and can still change or cancel their request in the meantime — and they’re emailed the moment you confirm or decline. Leaving the setting off (the default) keeps bookings confirming automatically.
More reliable logo uploads and clearer error messages
- Uploading a logo by taking a photo on your phone no longer closes the app, and photos from your library upload reliably too — so you can use a photo as your logo, not just a designed file.
- If something ever goes wrong, the error now shows a short reference code. Quote it to support and we can look up exactly what happened and fix it faster.
Saving your availability is safer
- Your weekly availability now saves in a single step, so if something goes wrong mid-save it can’t leave you with no hours — your booking page won’t suddenly show “no availability”.
- Switching off every day now asks you to confirm first, so you can’t accidentally hide your booking page in one tap.
Video guides — watch how every setup step works
- A new “Video guides” library in Help & support shows short, auto-playing walkthroughs built from the real app — for trainers (share your link, set your availability, create a plan, Brand Studio) and for clients (booking a session, your client space).
- Each guide plays automatically and loops, with a screen/phone toggle so you see the version that matches how you use TrainerBook, plus a pause button.
- Your “Complete your setup” checklist now shows a “Watch how” link on the steps that have a guide — see exactly what to do before you do it.
- The first-time welcome tour is now this walkthrough too: a short, skippable video run-through of the getting-started essentials (it replaces the old pointer-based tour). Replay it any time from “More” → “Replay tour” (trainers) or your account menu (clients).
A quick welcome tour the first time you sign in
- The first time you log in, a short step-by-step walkthrough highlights the key parts of the app — for trainers: your Calendar, Clients, Messages, Memberships and the “More” menu; for clients: messaging your trainer, your notifications and your account menu.
- It’s a handful of quick steps, you can skip it at any time, and it only appears once.
- Want to see it again later? Trainers: open “More” → “Replay tour”. Clients: open your account menu → “Replay tour”.
Simpler navigation — the four you use most, plus “More”
- Your bottom bar on the phone (and the top bar on desktop) now shows the four things you reach for daily — Calendar, Clients, Messages and Memberships — with everything else under a single “More” menu.
- Group classes, Reports, Activity, Gym, Availability, Settings, Help and Log out all live under “More” now. In particular, Classes and Reports are no longer buried inside Settings — they were never really settings.
- The Help Centre also gained a clear “Back” link to your calendar, like every other page.
- We shaped this around the platform navigation standards — Apple, Google and the Nielsen Norman Group all recommend three-to-five main tabs and moving the rest into a “More” menu.
The bell now covers messages, reminders & gym requests
- New messages now show in your Notification Centre (and bump the bell) — one entry per conversation, and opening the chat clears it. Announcements to your clients ping them too.
- Session reminders and “time to rebook” nudges now also appear in-app, alongside the email/push/text you already get.
- Gym activity is covered end-to-end: a join-by-code request pings the gym’s owners/admins, and the trainer hears back when it’s approved, rejected, or their role changes.
- As always, the in-app channel respects your Settings → Notifications toggle.
Sell a class allowance (memberships & packs now cover classes)
- Plans now have a “Covers” setting — 1-to-1 sessions (as before), group classes, or both. So you can sell a class membership (e.g. 8 classes a month) or a class pack (e.g. a 10-class block), just like session plans.
- When a client on a class plan books a class, it ticks a class credit down automatically — they see “On your plan”, and you see “On plan” on the roster (no need to mark it paid). Direct-Debit/standing-order class members can’t book beyond their paid classes; cash/bank can run owed as usual.
- A 1-to-1 booking only ever draws on a session plan, and a class only on a class plan — they never cross over.
Gym owners can put on classes taught by their members
- If you own or admin a gym (and you’re on Pro), you can now create a class and assign one of your gym’s members to teach it — pick them in the new “Instructor” box when you set the class’s location to your gym. You stay the organiser, and payment is still arranged with you.
- The class shows on that instructor’s booking page and on the gym page as “with [their name]”, so clients book it there while you manage the dates, roster and cancellations.
Class waitlists · find a gym · class attendance · gym-invite alerts
- Group classes now have a waitlist: when a class is full, clients can join the waitlist instead — and the moment someone cancels, the next person is booked in automatically and emailed. Clients see their queue position, and you see the waitlist count.
- The find-a-trainer search now finds gyms too — search by a trainer’s name or business, or a gym’s name, and gym results take you straight to that gym’s page.
- On a class date that’s already run, you can now mark each person Attended or Missed from the roster — alongside marking them paid.
- Gym invitations now show up in the Notification Centre: the trainer you invite gets a notification (as well as the email), and you get one back when they accept or decline.
New: group classes clients can book a spot in
- You can now run group classes — sessions several clients each book a place in. Set them up under Classes (in the top bar, or Settings → Group classes): give it a name, capacity, length, an optional price, when it first runs and whether it repeats weekly or every 2 weeks. It keeps the next few weeks of dates open automatically.
- Clients book a spot from your booking page (or their space if they’re signed in). TrainerBook counts places and stops taking bookings the moment a class is full — no double-booking, no overbooking — and offers a waitlist when it’s full.
- On each date you can see who’s coming, mark people as paid (payment is arranged with you directly, not through the app), and cancel a single session or the whole class — everyone booked in is told automatically. Clients can cancel their own spot from the confirmation email or their space.
- If you belong to a gym, you can tag a class to it (Location) so it shows on that gym’s page and stays scoped to it — a class at one gym is never offered under another.
Gyms: pin your hours to a location
- If you belong to a gym, you can now tag each availability block to it — e.g. “Mon 6–9am at PureGym, Tue evenings at my home studio”. Set it under Availability → each day’s block → Location, or leave it “Anywhere / general” if a block isn’t tied to one place.
- Your gym’s public page (/g/your-gym) then shows just the hours you actually work there, and booking from that gym page only offers those hours — so a slot you keep for one gym is never booked under another. General/untagged hours still show everywhere.
New: a Notification Centre with a header bell
- There’s now a bell in the top bar with an unread count, and a “Notifications” tab in your Messages area. It’s your feed of what’s happened — new bookings, cancellations and standing-slot requests for trainers; sessions your trainer booked for you and standing-slot outcomes for clients.
- Tap a notification to jump straight to it, or “Mark all read” to clear the lot. It sits alongside your chats but stays a separate list. You can switch it off under Settings → Notifications (the “In-app” toggle) — that also silences the bell.
Gym pages now show “find a time” across all trainers
- A gym’s public page (/g/your-gym) now has a “Find a time” section: when your gym’s trainers are generally available, day by day, with each trainer linking straight to their own booking page for live openings. A quick way for someone to see the whole gym’s cover at a glance and pick a trainer.
AI “Suggest next session” now recommends working weights
- The AI next-session suggestion (Pro) now proposes concrete working weights by default and progresses them from your client’s log — it reads each lift’s last load and nudges it up when they hit their reps, or holds/eases off after a hard session or a noted niggle. The more progress history you’ve logged, the sharper it gets. As always it’s a draft for you to review and adjust — never sent to the client.
Clients can request a regular (standing) slot
- On a trainer’s booking page there’s now “Want a regular slot? Request a standing session” — a client can ask for the same time every week or fortnight, with or without an account. Nothing is booked until the trainer says yes.
- Trainers see requests on their dashboard and Approve or Decline (with a reason). Both sides get an email with the outcome, and approved slots are booked ahead automatically — the same standing-booking engine that keeps them topped up.
- Signed-in clients can request from inside their trainer’s space too (not only the public link), and see their pending or declined requests right there.
Gyms get a shareable public page
- Every gym now has a public page at /g/your-gym — it shows the gym’s name, location and hours, and a roster of its trainers, each linking straight to that trainer’s own booking page. Share it anywhere; find it via “View public page” on your gym in Settings → Gym.
Gyms: invite trainers, join codes & roles
- Gym owners and admins can now build their roster. In Settings → Gym → “Manage members”, invite a trainer by email (they get a link, and also see it under “Invites for you”), or publish a join code trainers enter to request to join — you approve or decline each one.
- Make a member an Admin, change roles, or remove someone — and any trainer can leave a gym at any time. As always none of this touches anyone’s own clients, calendar, pricing or payments: a gym only groups independent trainers under one shared brand.
Standing bookings — hold a client’s regular slot for good
- You can now book a client in for the same time every week (or fortnight) with no end date. When you book for a client, set Repeat to Weekly / Every 2 weeks and tick “Standing — repeat indefinitely”: TrainerBook books about eight weeks ahead and keeps topping it up, so their regular slot is always held — no rebooking.
- Standing sessions show a ↻ mark on your calendar. To end one, open any of those sessions and choose “Stop standing booking” — it clears the repeat and cancels their future sessions (past ones are kept), after a confirmation. Use “Cancel this one” to drop just a single week instead.
Session reminders by text (SMS) — Pro
- Pro Trainers can now send session reminders by text message, alongside email and app push. Turn it on for a client and they get a short reminder text before each session.
- Texts only go to clients who have a TrainerBook account with a mobile number saved — and every client can turn texts off any time in their own Settings → Notifications, so the off switch always works. The text points them there.
Progress gallery — photos & videos of training
- Progress entries now take videos as well as photos. Everything shows as a clean, date-stamped Gallery: a grid of thumbnails (videos have a play badge) — tap one to see it full-size with that day’s notes beside it. Your clients get the same gallery in their portal, for the entries you’ve shared with them.
Tidy your client list: archive or remove a client
- You can now remove a client from the ⋯ menu on your Clients list. Archive hides them from your lists but keeps their history — it’s reversible, so restore them any time from the new Archived tab. Erase permanently deletes a client’s personal data (for a “delete my data” request); past bookings and payments are kept but no longer show their name. Erase asks you to confirm first.
Dark mode, a clearer way in, and an easy route to Pro
- Light or dark mode: the app can now follow your phone automatically, or you can pick Light / Dark / System yourself in Settings → Appearance (on the client side too). It applies instantly and remembers your choice on that device — and on the standard theme it now covers your whole dashboard and the client portal, not just the sign-in and help screens (custom brand themes keep their own colours).
- Opening the app is clearer: after choosing trainer or client you now get a plain choice — Sign in if you have an account, or Create an account if you don’t. Clients can finally sign themselves up from here too.
- On Free? There’s a subtle “Upgrade” button in the top bar (it disappears the moment you go Pro), and any Pro-only feature has a “See what Pro adds” link — both open a simple popup listing everything Pro includes.
- Smaller fixes: “Help” is always clearly labelled (no more mystery icon), logging out now asks you to confirm, the setup checklist no longer shows Pro-only steps to Free accounts (so you can actually finish it), and “Add your business name” now takes you to the right page.
- More fixes: the “TrainerBook” name is back in the header on the Help and What’s New pages on phones, and uploading a logo no longer risks closing the app on iPhone — large photos are now shrunk automatically before they upload (background removal stays available on the website).
One AI brand designer, a smarter save button & ad-hoc sessions
- Brand Studio’s AI is now one panel: describe your vibe once in “Design my brand with AI”, then choose what to design — your theme (colours & fonts), a logo (three ideas to pick from), or both. Each button says exactly what it does, right next to it.
- Saving works the same everywhere now: the moment you change something — availability, profile, branding, policies, notification or client settings — a save bar bounces up from the bottom of the screen (just like when you pick a session to book). No changes, no button; and it won’t let go of a problem, like a hard-to-read colour, without telling you.
- New trainers: the booking-preferences and cancellation-policy pages keep the bar up with “Happy with these defaults? Save to confirm them.” until you’ve saved once — that’s what ticks the “review your policies” step on your setup checklist.
- Availability reads more naturally — “Available from [start] to [end]” and “Standard session lengths” — and one-off AD-HOC sessions are now first-class: open just that window under “Adjust specific days” with ANY length (Custom… minutes included, e.g. one 100-minute assessment), or drag the exact time on your calendar and “Book for a client”.
Design a logo with AI (Pro) — and tidy up uploads
- Brand Studio can now design you a proper logo: describe the look you want in a sentence and the AI designs three clean, crisp vector marks to choose from. Recolour them (your brand colours, dark, or light) and switch between mark-only and mark + your name for free — only Generate uses one of your 10 goes a month.
- Pick a favourite and it drops straight into your brand like any uploaded logo — nothing changes until you save. One caution: before using an AI design commercially, check it isn’t too close to another brand’s logo or trademark.
- Uploading a photo as your logo? You can now remove its background first, right in the upload preview. It happens entirely on your device — the photo never leaves your browser (the first use downloads a small tidy-up model, then it’s instant).
Availability: custom session lengths & your week at a glance
- Session lengths aren’t limited to the presets any more — choose “Custom…” on any availability block (or your default in Settings → Booking preferences) for anything from a 15-minute check-in to a 2-hour session.
- The Availability page now ends with a “Your week at a glance” calendar that shades exactly when clients can book — and it updates live as you edit, so you can sanity-check your week before saving.
- Tidier too: each block now shows its times on one line and the session length on the next, so nothing wraps oddly on a phone.
Booking your trainer stays in their space
- When you tap Book inside a trainer’s space, their availability now opens right there — your header, menu and bottom bar stay put — instead of jumping out to a separate page. And if you search for a trainer you already work with, you go straight into their space.
- On a phone, tapping a day on any calendar now scrolls straight down to that day’s list of times — so the available slots (or your sessions) are never left hidden below the bottom of the screen.
Your brand leads, everywhere your clients see you
- If you’ve set a business name, your clients now see your brand — your business name and logo — everywhere they meet you: your booking page, the manage-booking page, your space in their portal, and your intake forms. A few of these used to show your personal name instead. (Trainers without a business name still show their own name, and none of this changes anything on your own dashboard.)
Brand Studio & portal polish
- Brand Studio is clearer: the live preview sits next to the controls (and updates as you design your logo), there’s an “unsaved changes” reminder, and uploading your own logo is front and centre — plus a saved brand name or colour now shows straight away, no reload needed.
- Your booking link on the dashboard is clearly labelled now, and the trainers you’re with (and the find-a-trainer search) show as “Name - Brand”, so you can spot or search either.
- In the client app the menus are consistent across every page (no more duplicated menu), and after booking a session there’s a clear way straight back to your sessions.
A steadier layout in the app — and proper landscape on your phone
- In the app, the top bar and the bottom button ribbon now stay put while only the content scrolls between them — the menus no longer drift as you scroll down a page.
- Landscape now works properly on your phone: the app keeps its tidy mobile layout, fills the screen edge to edge, and no longer squeezes in the wide desktop layout. (Tablets and computers still get the full wide layout.)
A tidier Settings and Help — plus notifications on your phone
- Settings is now organised into clear groups — Your business, Booking & clients, Money, Account & security, and Insights & help — and each area opens on its own focused page with a back button, instead of one long scroll. Your client records and the Availability page work the same tidy way now.
- The Help Centre is searchable: type what you’re after and it filters the guides and FAQs, and each guide opens on its own page.
- If you use the TrainerBook app on your phone, session reminders can now arrive as push notifications as well as by email — turn them on under Settings → Notifications.
Session types — offer your disciplines at booking
- Trainers can now set up Session types in Settings → Session types: name the disciplines you coach (Weights, Cardio, Boxing, anything), reorder them, and rename or retire one whenever you like.
- When a session is booked — from your public link or when you book for a client — there’s an optional “Session type” picker. Clients can leave it as “No preference”.
- The chosen type then shows up on the booking confirmation, the manage-booking page, your calendar’s session details, the client’s portal and their record — so everyone knows what the session is for. Renaming or retiring a type later never changes what a past booking said.
Clearer, more readable status labels
- We went through the whole app and tuned the small status labels — “Paid”, “Attended”, “Overdue”, “Cancelled” and the like — so they’re comfortably readable against every theme, including the premium dark ones. (Greens, ambers and reds now adapt to your theme instead of staying one fixed shade.)
- A few faint hint texts and two destructive buttons were also darkened to meet accessibility contrast standards (WCAG AA).
- Under the hood: clearer screen-reader navigation across the app, and custom brand themes (Pro) now keep their status labels readable on whatever background you choose.
Brand Studio: background & text colours + a clearer AI helper
- Brand Studio (Pro) now lets you set your own background and text colours — not just a brand accent. Each pairing is contrast-checked, so your pages stay readable.
- The “Design my brand with AI” helper is easier to find and clearer about what it does: describe your vibe in a sentence and it drafts matching colours, fonts and a logo for you to tweak before saving.
Private client notes & a progress journal
- Every client record now has Private notes — injuries & medical, goals and preferences — that only you can see. They’re never shared with the client.
- Below that, a Progress journal lets you log dated entries (what you did, weights, how it went). Choose the date, so you can write a session up the next day and it still links to that day’s session automatically — and edit or delete entries any time.
- You can now share an entry with the client — or turn on “Share all progress” — and they’ll see it in their space under Sessions → Your progress. Private notes are never shared.
- Attach photos to a progress entry too — location data is stripped automatically, and a shared entry shows its photos to the client.
- AI session suggestions (Pro, opt-in): on a client’s Progress, “Suggest next session” reads their notes + recent log and proposes a session for you to review and edit — your client’s name and email are never sent. Turn it on in Settings → AI assistant.
Reports — see how your business is doing
- A new Reports tab gives trainers an at-a-glance picture: sessions attended vs missed (and your no-show rate), new and active clients, active members by plan, and income — for a period you pick (this month, last month, last 3 months, or this year).
- Money is shown honestly: “Collected via Direct Debit” (actual money taken in-app) is kept separate from “Estimated monthly recurring” (what you’d expect to bill your active members) — the two are never blended, and cash/bank/standing-order stays between you and your client.
See your account activity
- Trainers get a new Activity page: a running record of changes across your account — bookings, clients, memberships, availability and settings — showing what changed, by whom and when. It’s there for your records and peace of mind.
- Clients can see their own account activity too, under Settings → Account activity.
- Your privacy is built in: health details (like questionnaire answers) and any secrets are never shown in these logs.
Seasonal hours (e.g. “Summer”)
- Availability → Seasonal patterns lets you set up an alternative weekly schedule and give it date ranges. While those dates are active, the pattern replaces your normal weekly hours automatically — handy for summer, term-time or a temporary change. Your time-off and per-day tweaks still apply on top.
Adjust a specific day without changing your week
- Availability now has an “Adjust specific days” editor: pick a date and close part of it, or open extra time — handy for a one-off early start or an afternoon away. Your weekly pattern is untouched, and you can review and undo these changes in a list. (The calendar drag-select still works too.)
Split shifts: more than one time block per day
- Your weekly availability can now have several blocks on the same day — e.g. mornings 06:00–10:00 and evenings 17:00–21:00 with a gap between — and each block can have its own session length. Set them under Availability with “Add another block”.
A tidier Messages tab — plus announcements to all clients
- Messages now live in one place: a single Messages tab that gathers your conversations and support together (we took chat off the individual client page). Start a new chat, reach support, or — for trainers — send an announcement to every client at once from “New message”.
- Clients get one Messages tab across all their trainers and support; tap a trainer to chat in their space.
- Small fix: on phones, tapping a text field no longer zooms the page in.
Message your trainer (or your clients) in-app
- There’s now a built-in chat between a trainer and each of their clients. Trainers: open a client and use the new Messages section, or the Messages tab to see all your conversations in one place. Clients: open your trainer’s space and tap Messages.
- Messages arrive live, and an unread badge shows when someone’s written to you. It’s for clients with a portal login — if a client hasn’t set one up yet, you’ll see a note instead of a chat box.
- You can also attach a photo or PDF (up to 10 MB) — tap the paperclip. Attachments stay private to the two of you.
Cleaner month & week on your phone
- On a phone, the month now shows a green dot with the number of sessions on each day (no more cramped, cut-off text), and the week shows just the first name in each slot (the time’s already on the axis). Tap any day and its sessions appear as a clear list below — time, name and paid/owed at a glance. Works on your calendar, your clients’ portal, and the public booking page.
Download your data, or delete your account
- Settings → Data & privacy now lets you export everything we hold for you as a file, and permanently delete your account whenever you want — for both trainers and clients.
Reset a forgotten password
- Forgot your password? Tap “Forgot password?” on any sign-in page and we’ll email you a secure link to set a new one — for trainers and clients, on any device.
Stronger account security
- Protect your trainer account with two-factor authentication: turn it on in Settings → Two-factor authentication, then sign in with a one-time code from an authenticator app (Google Authenticator, Authy, 1Password and the like). It means a stolen password alone isn’t enough to reach your account or your clients’ data.
- New passwords (trainer and client) are now checked against public breach databases — if a password has shown up in a known data breach, you’ll be asked to pick a different one. Only a tiny, anonymised fragment of the password ever leaves your browser.
Generate a logo in Brand Studio
- No logo yet? Brand Studio can now generate one from your business name and brand colours — choose a monogram, a wordmark, or an icon + your name. The “describe your brand” helper suggests one for you too. (Pro)
Smarter calendars & friendlier reminders
- Calendars now open on a month overview with a Month / Week / Day switch — tap any day to jump straight into it. Works the same on your phone, in portrait or landscape.
- New “time to rebook” email: when a client’s booked sessions are running low, they get a gentle nudge to book again — so nobody turns up to a slot you’ve already given away. You choose when it sends; clients can set their own preference too.
- You can now cap how many unpaid sessions a cash or bank-transfer client may run up before their booking pauses (default 2, or “no limit”).
Refer a trainer, save on Pro
- Share your personal link from Settings → Refer a trainer. Every trainer who joins and pays for Pro takes 10% off your subscription — for life, stacking up to 50%.
- The trainer you refer gets their first month of Pro free.
Make it yours — Brand Studio
- Pro trainers can design their own colours, fonts and logo across their booking page and their clients’ portal.
- A “describe your brand” helper drafts a theme from a sentence (e.g. “dark and premium with gold accents”) for you to tweak — and every theme is contrast-checked so text stays readable.
Memberships, packs & getting paid
- Sell sessions as a recurring membership (a set number each week or month, with optional rollover) or a one-off pack (a block, often discounted, that never expires).
- Take payment by in-app Direct Debit (clients authorise it themselves), or track cash, bank transfer and standing order by marking them paid — money always settles straight to your own bank.
- Booking confirmations, cancellation alerts and session reminders now go out by email.
Client accounts & intake forms
- Clients can create a free account to see every session, membership and form in one place — across all the trainers they work with.
- Turn on PAR-Q health screening and a signed waiver, completed once per trainer before a client’s first session.
