Your calendar & availability

For trainers
  • Set weekly hours under Availability; clients can only book inside them. Each day can have more than one block (split shifts) — e.g. “Available from 06:00 to 10:00” and “17:00 to 21:00” — and each block has its own standard session length: pick a preset (30/45/60/90) or choose “Custom…” for anything from 5 minutes to 8 hours (e.g. 15-minute check-ins or 2-hour sessions).
  • A “Your week at a glance” preview at the bottom of the Availability page shades exactly when clients can book, and updates live as you edit — handy for spotting gaps before you save. Time off, seasonal patterns and specific-day tweaks apply on top of what it shows.
  • Seasonal patterns (optional): under Availability → Seasonal patterns, define an alternative weekly schedule like “Summer hours” and assign it date ranges. While a range is active it replaces your normal weekly hours; time-off and per-day tweaks still apply on top.
  • Block holidays/time off so no slots show then.
  • For one-off changes on top of your weekly hours, use Availability → “Adjust specific days” to close part of a day or open extra time by date — or drag-select on the calendar to “Make available / unavailable”. On the calendar you can also drag a session to reschedule it, or drag its edge to change its length (clashes are checked).
  • Need an AD-HOC session that’s longer or shorter than your standard lengths (say a one-off 100-minute assessment)? Two ways: open just that window under “Adjust specific days” with its own session length — including Custom… minutes — and the client books it like any other slot; or drag-select the exact time on your calendar and “Book for a client” — the booking takes exactly the length you dragged.
  • Calendars open on a Month overview with a Month / Week / Day switch. On a phone, the month shows a green dot with each day’s session count and the week shows first names (the time is on the axis); tap a day to list its sessions just below the grid. On a larger screen, tapping a day opens it.
  • Set minimum notice, buffers and a default session length in Settings → Booking preferences — the default length takes the same presets or a “Custom…” number of minutes.
  • Want to approve bookings first? Turn on “Review each booking request” in Settings → Booking preferences. Each client booking then arrives as a request you confirm or decline (with an optional reason shared with the client) — it isn’t booked until you approve it. The slot is held while it waits, you’re notified by email and in-app, and the client can still change or cancel their request in the meantime. Bookings you make yourself for a client are always confirmed straight away. Off by default (bookings auto-confirm).
  • When a client opens a slot to book, they can change the “Session length”. A NON-standard length (a 90-minute assessment, a 30-minute check-in, etc.) always comes to you as a request in the same Booking-requests inbox — even if “Review each request” is off — the slot is held while it waits, and you approve or decline it the same way. Only your default-length slots auto-confirm.
