Clients

For trainers
  • Anyone who books is added to your Clients list automatically (one record per email).
  • Open a client to see their sessions, membership and credit balance, and (if you use them) their signed intake forms.
  • Mark past sessions Attended, Missed, or Cancelled in time — a missed session still uses its credit; correct exceptions with the ±1 credit buttons. “Cancelled in time” is for a session the client properly called off (a text, a phone call, in person) that never got recorded: it asks you to confirm first, tells you exactly what it returns to their plan, and then does the same thing as if they had cancelled in the app on time.
  • Clients can ask you to change a past session too — “I missed it”, “I cancelled in time”. Their asks gather on your dashboard under “Session changes to confirm”, each showing what they said, whether they claim they gave you notice in time, and precisely what confirming returns to their plan. Nothing moves until you confirm; you can decline with a reason, and they can ask again. On a set-sessions-a-week plan there is no balance to return to, so a missed session is simply lost and a timely cancellation earns a make-up session instead.
  • Private notes: keep injuries & medical, goals and preferences for each client — visible only to you, never shared with the client.
  • Progress journal: log dated entries about a client (lifts, weights, how a session went). Set the date yourself, so you can write a session up the next day and it links to that day’s session automatically; edit or delete entries any time. Attach photos and videos to an entry — they appear as a date-stamped Gallery (tap a thumbnail to see that day’s notes), and any entries you’ve shared show in the client’s own portal gallery too.
  • Share progress per entry, or flip “Share all progress” to share everything (current and future) — the client sees it in their space under Sessions → Your progress. Private notes are never shared.
  • Attach photos to a progress entry (we strip location data automatically on upload); a shared entry shows its photos to the client too.
  • AI session suggestions (Pro): turn it on in Settings → AI assistant, then use “Suggest next session” on a client’s Progress. It reads that client’s notes + recent log (sent without their name or email) and proposes a session for you to review, edit and save — decision support, never medical advice, and never shown to the client automatically.
