Gyms
For trainers- A gym brings independent trainers together under one public page. It never takes over anyone’s business. Everyone keeps their own clients, calendar, prices and payments, and can leave at any time. Gyms are free. Create one from More → Gym. You become its Owner. It gets its own page at trainerbook.co.uk/g/ followed by its name.
- Bring trainers in from Manage gym. You can invite them by email as a Member or an Admin. The invitation lasts 14 days and waits under Invites for you. They need a trainer account with that email to accept it. Or you can switch on a join code that they enter under “Join a gym with a code”. Then approve or decline each request. Owners and admins are told about every request, and the trainer is told the answer. Changed your mind after asking? Withdraw request on the gym takes it back, and its owners and admins are told.
- Roles: the Owner can do everything. That includes changing anyone’s role, and a gym always keeps at least one Owner. The Owner also decides whether class instructors may read health answers. Admins invite people and cancel invitations. They run the join code and its requests, and remove members, but never an Owner. They choose whether the gym appears in Find a gym and on Google. They set the gym’s details for its page, set up the gym’s calendar sync and give classes to instructors. Members see the gym and its page, and can leave. Removing someone takes them out of the gym and deletes nothing of theirs. They’re told, and so are the gym’s owners and admins.
- If you leave as the gym’s only owner, you choose first. You can hand it to a member you pick. Admins are listed first, longest in the gym first. The person you pick becomes an owner and is told. Or you can close the gym. Then every member is told, and each class carries on as its organiser’s own. The gym’s page, join code and shared calendar stop working. Closing your account asks the same question for every gym you alone own. If an account goes without that choice, the gym’s longest-standing admin takes it over. With no admin, the gym closes.
- The gym’s page lists its trainers. Each one opens that trainer’s booking page for the gym. It has a Find a time showing when they are generally free. It also lists the gym’s classes, with the next date, price and places left. Anyone can open it without signing in. It appears in Find a gym and on Google, unless an Owner or Admin switches that off. The switch is Show this gym in Find a gym and on Google. The page and its link keep working either way. The small “Powered by TrainerBook” at the bottom goes when one of the gym’s Owners is on Pro. It’s the same as on their own booking page.
- The gym’s Owners and Admins set what the page shows, under Manage gym → Gym details. First, its logo: PNG, JPG, WebP, GIF or AVIF, under 4 MB. It’s on the page as soon as it’s uploaded. Remove puts the gym’s first letter back. Next, an accent colour, used for the strip under the header, the tiles and its links. We use a shade that reads on light and dark pages. Then the address, and opening hours for each day. Write the hours as you’d say them, such as “6am – 10pm” or “Closed”. An empty day is left off. Press Save details for the colour, address and hours. Gym details are free, like gyms.
- Gym hours: on your Availability, give a block a Location to keep it for one gym. Someone booking from that gym’s page is offered that gym’s hours and your untagged ones. They’re never offered hours you keep for another gym. For now, seasonal hours always show everywhere.
- A session in hours you keep for one gym is at that gym, however it was booked. That covers the gym’s page, your own booking page, your calendar or a regular slot. Its confirmation, reminders, calendar entry and session screens all say “at <the gym>”. That includes reminders by email, text and the app, and both your screen and your client’s. A guest’s invitation says it too. Change those hours, or leave the gym, and your upcoming sessions follow. Sessions in untagged or seasonal hours don’t name a gym.
- Classes at a gym are part of Pro. Set a class’s Location to the gym and it appears on the gym’s page. An Owner or Admin on Pro can have another member teach it. See Group classes. The instructor doesn’t need Pro. They see the register and mark attendance from Classes you teach. They’re told about bookings and cancellations.
- Health answers stay with a class’s organiser unless the gym’s Owner switches on Let instructors read health answers. It’s off unless they switch it on. Even then, an instructor reads a form only when the person’s own consent named the class’s instructor. On an older form, they’re told to ask the organiser. With the switch off, they see who has signed. Where the consent named them, they also see whether any answer was a yes.
- Owners and admins can put the gym’s schedule in a calendar app. Calendar sync on the Gym page gives a private link. It has the gym’s classes, your own sessions and those of the members you choose. Members are warned that their sessions can appear there. Any member can also start a challenge for the whole gym. The clients of every member can join it.
